Who will be project managing the physical conversion, on Spencer Technologies side?

Do you Spencer Technologies handle everything?

  • Spencer Technologies does not. We are part of the team to do the SU conversion. There are other parties to this conversion.

What do I need done prior to scheduling a Physical Conversion to Salon Ultimate?

  • Please do the Windows Operating System update on all in one PC and Microsoft Surface Pro Tables; please turn off WiFi on the Surface Pro as well, when Windows update is done
  • When ordering your Trustwave device you must specify how you plan to convert, Multi-Phase or FULL. As FULL conversions will need to install while still on Shortcuts (Shortcuts or Hybrid Configuration), and Multi-Phase will install after Salon Ultimate POS conversion (Salon Ultimate Configuration).
  • If you plan on retaining the Sonic Wall as your firewall, it will need to be updated to latest firmware; Spencer Technologies can do this for you and the firmware update must be in place at least one or more week prior to SU night of conversion. Shortcuts will continue to work even after the firmware upgrade.
    • Please sign the Sonic Wall Firmware Upgrade Disclaimer and email signed copy to Spencer Technologies.
  • Wallboard has been ordered or installed.
  • Electrical outlets have been installed for the Wallboard.
  • All CDW and other hardware orders are confirmed to arrive or have arrived prior to SU conversion date.
  • You have your Vantiv Merchant Dealer letter; If you cannot locate your Vantiv merchant dealer letter please contact Vantiv at 800-846-4472 ext. 1410, to request.
  • All physical conversion scheduling request with Spencer Technologies require (14) days lead time.

Can I upgrade my POS PC to Salon Ultimate on a different date than the physical installation of kiosks by Spencer Technologies, i.e., a multi-step process?

  • Yes this is actually the preferred method, the following is sequence of events
    • Step 1, Schedule with Salon Ultimate at least 3 days in advance, that you will be converting the POS PC ONLY to Salon Ultimate, and do this conversion with them on a scheduled date and time; SU will need to know days at least 3 days in advance as there is much data preparation they have to do
    • Step 2, a day or two after the POS PC Salon Ultimate migration, call Trustwave to install and "implement" Salon Ultimate, keep in mind that Trustwave implementation team is only available 8 am to 5 pm
    • Step 3, a day or two after the Trustwave installation and implementation, with a pre scheduled week night of physical installation for wallboard and or kiosks with Spencer Technologies, a Spencer resource will install one or two kiosks along with the new credit card machines. Salon Ultimate will then do software conversion on the Kiosks, along with the wallboard. Spencer resource will aid in configuration of the wallboard for Salon Ultimate or SU. It is preferred, that the SU conversion for the kiosk is done while the Spencer resource is on site, regardless if there is a release of Spencer resource from site via Salon Ultimate. However, you do have the option of doing the SU software push to the kiosks and wallboard the morning after the kiosks and wallboard have been installed by Spencer.

Will Sonic Wall work with Salon Ultimate, if I do not upgrade my firmware, if I only do the POS PC Salon Ultimate software and database conversion?

  • Yes it will, Sonic Wall will allow traffic to communicate
  • However, you cannot proceed to Salon Ultimate software push to the Kiosks and wallboard if you have not done a Sonic wall firmware upgrade; kiosk and wallboard will not be able to communicate with the POS PC if you have not done the Sonic Wall firmware upgrade, or have "implemented" Trustwave; reach out to SportClips corporate if you have more questions on this

What is the current configuration for Trustwave?

  • As of 4/26/2017, Trustwave is now shipping devices with either the Shortcuts or Salon Ultimate config. They are asking the TL at the time of scheduling if they will be installing on Shortcuts or after conversion. Trustwave also stated that if the TL order the wrong config, they can change it at the time of install/implementation.

I cannot place an order on the website, or I am having difficulties placing an order on the website, what should I do?

  • Ensure you are entering the store address meant for SU conversion, not your business address AND do not enter the same ship to address twice

      • Your business address, street, city, state and zip code
      • Business owner name, phone, and email address
    • Location of project site(s), prefer in MS Excel if you have a lot of sites
      • Store #, e.g., “PA202”
      • Store address, city, state, zip code
      • Preferred night of SU or Salon Ultimate conversion per store
    • State if you need the wallboard mounted and installed, this will be $260 charge (weeknight rate)

What exactly happens on the night of Salon Ultimate Conversion, apart from the Spencer Technical Installation Document?

  • After the store is closed, the Team Leader will first call Trustwave support on their conversion bridge line*, 1-866-757-1041 conference code 5567715467# and let them know you are converting to Salon Ultimate under Master Ticket #780006, so they can switch you over from Shortcuts. *If the bridge is not manned, please call the general support line 1-888-949-7328, option 1.
  • Next, the Team Leader will call the Salon Ultimate support line 855-466-9332, option 2 and let them know you are ready for the conversion to Salon Ultimate.
  • Salon Ultimate support will give the link of the installer to the team leader or tech, so they can enter their store number and the installation will begin.
  • Once the Salon Ultimate installation is complete, some manual pieces will need to be installed by the Salon Ultimate support team (such as Vantiv processing and credit card drivers).
  • Once complete, the team leader will need to be prepared to run a test transaction to ensure credit card processing is working. Please do a test transaction to ensure register till and register printer are working, including the credit card payment system.
  • After Salon Ultimate has been downloaded onto your POS, you will receive your store’s wallboard URL. To configure the wallboard, the Spencer technician will follow the directions contained in the Wallboard Configuration Guide which can be found on the Online Huddle > Document Library> Salon Ultimate POS> Installation.
  • Once the Salon Ultimate conversion is complete, you can: Configure your POS using the Team Leader training videos available on the Online Huddle > Document Library> Salon Ultimate POS> Training.
  • Train your Team Members on the Salon Ultimate POS

Who does the settings such as stylists, manager's information, credit card tips paid by payroll check, national and local coupon codes?

  • This is all done via Salon Ultimate
